Executive Assistant
Full-time, Permanent
Salary Range:  $44,080 – $53,108 per Annum

You will be responsible for providing confidential comprehensive executive administrative and corporate communications support to the Executive Director, the Board of Directors and the senior management team.

Responsibilities will include:

  • maintain all corporate administration systems
  • manage logistics, including communications, for all Executive Director, senior management, and corporate meetings including the Annual General Meeting, Board meetings and retreats, Board Committee meetings and retreats.  This includes taking and preparing minutes as required
  • ensure Board and executive documents are brought forward and deadlines observed
  • assist the Executive Director in special projects as required
  • assist the Executive Director and Directors in the preparation of reports, funding applications, Annual Reports, presentations and the like including proof-reading, editing, drafting of presentation materials and slide-decks as required
  • manage executive correspondence and calendars
  • review and summarize reports
  • coordinate corporate communications

The idea candidate will have:

  • proficiency using all functionality of Microsoft Office Suite and email
  • experience preparing presentation materials, managing multiple schedules, and handling meeting and travel logistics
  • successfully contributed to the effective management of an executive office or similar environment
  • established and maintained electronic and paper filing systems
  • prepared materials for publication and/or public distribution
  • two years’ administrative experience at a senior level with a secretarial/administrative assistant certificate or five years of senior administration assistance experience
  • demonstrated ability to be flexible, organized, a self-starter, and possess excellent problem solving skills
