St. Michael’s 3.0 is an ambitious redevelopment project to transform patient care at St. Michael’s Hospital and help St. Michael’s Hospital become Canada’s premier critical care hospital.
Operational Readiness is a process to identify, define, organize, and implement all of the deliverables and tasks that are required for the activation and occupation of the new facility in a logical, timely, safe and cost-effective manner that ensures consistent application of corporate priorities and principles.
The Operational Readiness Specialist reports to the Manager, Operational Readiness. As a member of the Operational Readiness Team, the Operational Readiness Specialist role bridges health care professionals, clinical programs, services and departments with St. Michael’s 3.0, to help key stakeholders understand and manage the impact of the overall project on existing processes of care and hospital operations, with the goal to improve and enhance the integration of services and care practices within the new facility. The transformation role includes leading operational readiness activities and facilitating service and user groups to advance St. Michael’s Hospital strategy, project vision and operational goals.
Key responsibilities of the Operational Readiness Specialist include:
- Establish and maintain collaborative relationships with clinical programs and services, departments, integrated inter-professional teams and working groups, front line clinical staff and physicians
- Blend clinical knowledge with facilitation expertise to engage, lead and facilitate planning sessions and work with clinical programs and services, departments, integrated inter-professional teams and working groups, to plan, analyze, resolve and ensure a thorough, detailed, systematic and effective transition of clinical process and workflow changes that supports efficient, effective and safe patient-centred care and clinical best practices
- Lead departments through detailed operational phasing to maintain transitional operations during the new Patient Care Tower and Phased Renovation to minimize the impact on patients, families, staff, physicians and volunteers
- Utilize clinical and health care expertise to liaise with stakeholders and identify needs in order to advance the Hospital’s physical space and clinical IT systems with a focus on patient-centred care, patient safety, clinical best practices and infection control standards
- Utilize clinical and health care expertise to conduct an analysis of projects and initiatives to identify overlap/duplication of effort and impact, identify potential solutions and lead change to ensure efficient, effective and safe patient-centred care
- Identify and bring forward, emerging issues in the Operational Readiness planning process and assist with mitigation of any risks emerging from the daily work of the Operational Readiness teams and working groups
- Identifies options for creative, evidence-informed problem resolution of issues and risks
- Liaise and communicate relevant information and deliverables to the Operational Readiness teams and working groups, Planning and Development team, Professional Practice, SMH staff and physicians, the Communication team, the Information Technology team and other key internal and external stakeholders
- Applies depth of clinical knowledge in the provision of consultation and designs processes with Operational Readiness teams and task groups that enable strategic and efficient redesign and improvement of clinical/operational services and workflow, in preparation for transition into the new operations
- Ensure new processes are properly integrated and communicated to internal and external stakeholders
- Support the integration activities as they relate to Planning and Development and Operational Readiness
- Monitor and employ standardization of reporting tools
- Monitor, coordinate and provide oversight for implementation of baseline workplan activities and integrated working groups
- Organize and facilitate regular meetings and collaborate with programs, services, departments, clinical leaders and physicians to plan, implement and evaluate operational readiness project activity – e.g. process, workflow, patient flow and transition planning
- Collaborate with key stakeholders to ensure the development and implementation of appropriate training and orientation of appropriate staff for all new processes, tools and systems
- Provide guidance and support to staff during training and orientation ‘pre, during and post’ development/relocation
- Coordinate, maintain and ensure appropriate documentation of improvement initiatives, from development through implementation, to enable review/debrief processes upon completion
- Facilitates and participates in discussions on patient flow and care requirements to ensure the patient experience is at the forefront of the planning, meetings and post occupancy evaluations
- Assist and collaborate with key stakeholders to support the achievement of St. Michael’s 3.0 Operational Readiness and Planning and Development project goals and project charters and established 3.0 deliverables and milestones
- Bachelor’s degree required or equivalent, relevant experience.
- 5 years clinical experience.
- Experience leading change and project management initiatives within interdisciplinary teams.
- Proactive with a proven ability to manage multiple, competing priorities, achieve results and advance work plans.
- Excellent analytical, organizational, problem solving and critical thinking skills.
- Excellent leadership, project management, change management and conflict resolution skills.
- Excellent interpersonal skills with demonstrated ability to build effective relationships, promote collaboration and reach consensus decision making.

- Demonstrated experience in data collection, analysis and reporting.
- Working knowledge of, and experience with quality improvement principles and tools.
- Familiarity with the patient care process from a holistic systems perspective complemented by experience/strong interest in transformation initiatives.
- Process improvement and customer service orientation.
- Ability to work independently and as a part of a collaborative team.
- Computer literacy in a Windows environment utilizing Word, Excel, PowerPoint and Outlook (intermediate level).
- Demonstrates understanding of contribution to patient and staff safety.
