Position Summary:

Under the supervision of The Health Communication Unit Manager, the Office Administrator provides/coordinates office support for 4 Unit staff and outside consultants working on various provincially and federally funded health promotion/health communication projects. Duties include coordination, negotiation and planning for workshops and consultations including selecting, scheduling and contracting facilitators, liaising with hotel and host agencies/clients, ensuring timely delivery and preparation of professionally produced workshop and consultation support materials (e.g., name tags, workbooks, source books and publicity materials), managing databases related to same. Preparing and monitoring budgets, workplans and reports for the approval of the manager and funder; accountable for management of budget related to provision of services as outlined above (e.g., guest facilitator budget, consultation travel budget) the design, production and distribution of internal and external print and electronic documents as necessary, including website, reports, proposals, posters, flyers, meeting minutes, correspondence, faxes, memos. The Incumbent is the first contact within the unit for clients, colleagues and general public re: THCU and its activities. Receives visitors, phone calls, messages. Distributes mail, faxes and courier packages and is also responsible for the maintenance of the office environment (provisioning of supplies and equipment and troubleshooting space and equipment problems).



Minimum Qualifications

Education: Post secondary education preferred, or combination of education and experience.

Experience: At least three years experience, preferably in the University, and good general knowledge of the fields of health promotion and health communication.

Manual Skills: Typing 60 wpm. Advanced knowledge of (and/or demonstrated ability to learn) WordPerfect, Word, PageMaker, Powerpoint, Access, Netscape Communicator, FrontPage.

Other: Thorough knowledge of office procedures in small project-oriented office; excellent written and oral communication skills; accuracy; ability to exercise tact, diplomacy, discretion, and sound judgment; organizational ability; demonstrated flexibility and initiative; creativity.
