RFP--Graphic Design and Technical Writing, Spinal Cord Injury Ontario

SCI Ontario invites qualified individuals to submit a proposal for a contract to produce quick reference guides for Efforts To Outcomes case management software to support implementation of the new software in July 2016.

Background:

Efforts to Outcomes (ETO) is a new Client Management system that three Spinal Cord Injury Ontario programs will be using: Regional Services, Peer Support and Knowledge Enterprise. This new software which is customized to the needs of Spinal Cord Injury Ontario clients will be taking the place of a database which we used for almost two decades. All staff will need to be trained on the software starting mid-July once all data has been migrated and the new system goes live. Staff will begin using the new system immediately following their training.

Scope of the project:

The training plan for ETO implementation includes an in-person launch, quick reference guides, eLearning module simulations, and small group webconference meetings. The Graphic Designer will collaborate with the Manager of Knowledge Enterprise and the ETO training project team to create visual quick reference guides for four key processes: time tracking, identifying goals, mapping the client journey, and reports.

Deliverables:

The Graphic Designer will work with content and concepts provided by the Manager, Knowledge Enterprise to create the following quick reference guides:

  1. How do I track my time? (9 quick reference guides)
    1. Intake time (RS/PS)
    2. Onboarding (RS/PS)
    3. Delivering client service (one for each of RS, PS and Volunteer)
    4. Responding to Info requests (KE only)
    5. Product Design Time and Product Events (KE only)
    6. Tracking General Event time (RS/PS/KE)
    7. Tracking non-client service time (RS/PS/KE)
  2. How do I work with my client to determine goals? (RS only)
  3. What are the steps in a client journey (RS/PS)
  4. How do I run reports? (RS/PS/KE/manager)
  5. Compile brief user guide with addition of short explanatory narrative into brief user guide. (RS/PS/KE/manager) – Purpose: support new staff orientation.

Budget:

We will consider proposals up to $4000.00 (including HST and travel costs). Payment will be made as progress towards project milestones is completed.

Selection Criteria:

  • Experience and expertise in graphic design.
  • Experience and expertise in technical writing.
  • Experience and expertise in online content creation for e-learning.
  • Project management skills, as evidenced through successful, on-time/on-budget completion of comparable projects.

Proposal Requirements:

The proposal should not exceed 3 pages and should include a résumé that outlines relevant qualifications and professional experiences. In addition the proposal should include but not limited to the following:
A work plan that takes into account the deliverables and implementation timelines
Examples of prior work similar to this type of project
2 References directly related to comparable projects.

All work related to deliverables 1 – 3 must be completed by Friday July 8, 2016. All work related to deliverables 4 – 5 must be completed by December 23, 2016. Up to five additional quick reference guides may be required as part of this project.
