Administrative Assistant, Ontario Prevention Clearinghouse

The Ontario Prevention Clearinghouse (OPC) is Ontario's leading
bilingual health promotion and prevention agency providing information,
education, consultation and networking services in French and English
province-wide.  Please see our website for more information

The successful applicant will provide administrative support to OPC
programs and contribute to the overall administrative team. Fluency in
both English and French is required. This is a 2-year contract
position, with the potential for permanent placement. Full-time or
part-time may be available. Location of work is Toronto.


  • Support staff and management in program delivery and grants
    administration (e.g. reports, workplans, monitoring activities,
    electronic newsletters);
  • Internal meetings, including meeting set-up/logistics and minutes;
  • Assigned components of websites, including monitoring and updating content;
  • Arranging the adaptation or translation of resources and materials;
  • Support resource and promotional material development including
    liaison with researchers, writers, designers, translators, printers and
    other vendors;
  • Inventory and distribution of print resources;
  • Maintenance of reference holdings (e.g. books, journals);
  • Data entry of contacts and service records;
  • Respond to general inquiries, some reception;
  • Prepare cheque requisitions;
  • General administrative functions (photocopy, file, fax, travel arrangements, etc.).


  • Community college certificate plus clerical/technical experience or equivalent combination;
  • Minimum 3 years experience in an administrative capacity,
    preferably in a non-profit, health promotion or social service
  • Excellent oral and written proficiency in both French and English;
  • Excellent skills in MS Office Suite (e.g. Word, Excel, Access);
  • Strong data entry skills and experience in maintaining data; accuracy required.
  • Strong administrative and organizational skills, with a high
    degree of attention to detail and the ability to work with multiple
    projects and demands simultaneously;
